Lapland Mobile Sauna ("we", "us", "our") is committed to protecting your privacy. This policy explains how we collect, use and look after personal data when you visit our website, send a hire enquiry or make a booking.
Who we are
Lapland Mobile Sauna is a small UK service business based near Magor, NP26, providing wood-fired mobile sauna hire, delivered and set up by us. For privacy queries, contact hello@mobilelaplandsauna.co.uk.
What information we collect
- Enquiry details: name, email address, phone number, postcode, preferred dates, hire length and notes you choose to share.
- Delivery location details: the delivery postcode or area, type of location, access and ground suitability information, and location permission status.
- Verification and permission records: identity evidence, address evidence, agreed use location, campsite or holiday-let permission evidence, signatures, declarations and safety acknowledgements where needed for a booking.
- Booking records: payment status, hire agreement, booking deposit and security-hold (card pre-authorisation) records, delivery and handover notes, collection notes, condition photos and failed-delivery records where needed.
- Communications: messages you send by email, phone or via our enquiry form.
- Technical data: standard server log information such as IP address, browser type and pages visited, collected by our hosting provider.
How we use your information
- To respond to your enquiry and check availability.
- To work out delivery distance and assess whether the booking can proceed safely, including location, access and permission checks.
- To manage booking paperwork, payment, the security hold, delivery, collection and any damage or missing-equipment queries.
- To keep records required for accounting, tax, insurance, safety and legal purposes.
- To send service-related updates about your enquiry or booking.
Lawful basis
We process your data on the basis of contract, where it is needed to respond to or fulfil a booking you request; legitimate interests, where it is needed to operate and protect the business; and legal obligation, where records must be kept for tax, insurance or legal reasons. Where required, we will ask for consent.
Who we share data with
We do not sell your data. We share it only where needed with trusted providers who help us run the business, such as our form-handling provider, email provider, payment provider, accountant, insurer, broker, legal adviser or repair provider where relevant.
How long we keep it
Booking and accounting records are usually kept for 6 years to meet UK tax and business record requirements. Enquiry records that do not become bookings are kept only as long as reasonably needed for follow-up and business administration.
Your rights
Under UK GDPR you have the right to access, correct, delete or export your data, and to object to or restrict processing. To exercise any of these rights, email hello@mobilelaplandsauna.co.uk. You also have the right to complain to the Information Commissioner's Office.
