Terms & Conditions

These terms apply to hire bookings with Lapland Mobile Sauna ("we", "us", "our"). By confirming a booking, you agree to these terms and to any written hire agreement issued before delivery.

A website enquiry is not a confirmed booking. We confirm bookings only after availability, location, paperwork and payment checks are complete.

1. Service model

Lapland Mobile Sauna offers private delivered hire. We deliver the sauna to the agreed private home, holiday stay, campsite pitch or land, position and set it up, complete a safety handover, and collect it at the agreed time at the end of the hire. The sauna is used privately by you and your group between delivery and collection; we do not remain on site during the hire. A responsible adult must be present whenever the sauna is in use. You do not tow or move the sauna at any point.

2. Booking and payment

A booking is confirmed only when we have issued written confirmation and received the £75 booking deposit and signed paperwork. The booking deposit secures your date and is deducted from the hire price. The remaining balance is due before delivery day.

A 15% discount applies to weekday (Mon-Thu) hires.

This is a local delivery service and our standard maximum delivery distance is 30 road miles from our NP26 base. Delivery, setup and collection are included within the first 10 road miles. For locations from 10 to 30 road miles away, one mileage charge of £2 applies for each road mile beyond the included 10 miles. This charge is paid once and covers both delivery and collection; it is not charged separately for each journey. We do not offer nationwide delivery. An address only just outside the 30-mile boundary may be considered individually, but must be agreed in writing before booking.

Prices include one batch of firewood for one sauna session. Extra wood is not included unless quoted or agreed before delivery. Excessive cleaning, damage or missing equipment may be charged separately.

3. Security hold (damage deposit)

We place a £500 pre-authorisation on your payment card at or shortly before delivery. This is a hold, not a charge: no money leaves your account. The hold is released after collection and inspection of the sauna, usually within a few working days depending on your card provider.

Any deduction from the hold will be based on documented loss, damage, missing equipment or excessive cleaning, and we will contact you before making any deduction. If we cannot place the pre-authorisation, we may be unable to complete the handover.

4. Eligibility and site requirements

The renter must be at least 18 years old. We may ask for proof of identity and address confirmation before delivery.

You must provide a suitable location for the sauna: firm, reasonably level ground; clear and safe access for a car and trailer to deliver, position and collect the sauna; and safe clearance from buildings, fences, vegetation and anything overhead, as the stove is wood-fired. We confirm the final position together at delivery.

If delivery or setup cannot proceed safely because the location, access or permission is unsuitable and this was not made clear to us before booking, we may treat the booking as a late cancellation under section 8.

5. Delivery, handover and collection

We deliver at the agreed time, set the sauna up and record its condition and equipment. At setup we fit a hitch lock and wheel clamp to the trailer; these security devices must remain in place at all times during the hire. At handover, we provide safety instructions and show you how to use the sauna and stove. You are responsible for the sauna and all associated equipment from handover until we collect it.

The sauna must be positioned off the public road, and must be cleaned after each use with the cleaning products we supply.

At the end of the hire, we collect the sauna at the agreed time and complete a final inspection. The sauna must be reasonably clean, complete, undamaged and in the same general condition as at handover, allowing for fair wear and tear. Please ensure the sauna and access route remain available for collection.

6. Use restrictions

The sauna may be used only at the agreed private location and only for private use by the agreed group. You must have permission from the landowner or property owner.

For campsites, holiday lets or managed sites, written owner or manager permission must be provided before approval. Permission should confirm that a trailer-mounted wood-fired sauna is allowed, including any fire, wood-fired appliance, parking, access, overnight security, smoke, spacing and recovery-access rules.

7. Safety and health

You must follow the safety guide and all handover instructions. A responsible adult must be present whenever the sauna is in use. Under-16s may only use the sauna with direct adult supervision, and sauna use is not recommended for children under 10. Do not use the sauna under the influence of alcohol or drugs; no one under the influence of alcohol or drugs may use or supervise the sauna at any time.

The person making the booking must read and sign a short safety and health declaration before or at handover, confirming they have received the safety briefing and that they will make everyone who uses the sauna during the hire aware of the same guidance. The person booking is responsible for all users in their group, including ensuring anyone under 16 is supervised and suitable to use the sauna. We keep this declaration on file as a condition of our insurance.

Users must remove shoes before entering, sit on a towel, and remove jewellery, watches and metal items before use. The stove, sauna stones and flue become extremely hot and must not be touched. If anything is not working as it should, you must contact us immediately and must not attempt to repair it yourself. The sauna must be locked when not in use.

Sauna use may not be suitable for everyone. If you are pregnant, have a heart condition, blood pressure issue, mobility concern, medical condition or have been advised to avoid heat exposure, seek medical advice before use.

8. Cancellations and changes

We try to keep cancellations fair and practical. If you need to change your dates, please tell us as early as possible.

If we cannot provide the sauna for reasons within our control, you will receive a full refund or the option to reschedule. If delivery or setup cannot proceed because the location, access, permission or payment requirements are incomplete or unsuitable, we may treat the booking as a late cancellation and retain the booking deposit.

9. Liability

We are responsible for towing, delivery, setup and collection of the sauna. You are responsible for safe use, the suitability and permission of the agreed location, supervision of users, and the sauna and equipment between handover and collection. You are responsible for injury, loss or damage caused by misuse, breach of these terms or failure to follow instructions.

Nothing in these terms limits liability where it would be unlawful to do so. Subject to that, our liability is limited to the hire fee paid for the booking.

10. Force majeure

We are not responsible for delay or failure caused by circumstances outside our reasonable control, including severe weather, road closures, vehicle issues, illness, power or communication failure, or safety restrictions. We will offer a fair reschedule or refund where appropriate.

11. Photography

We may take photos of the sauna at delivery and collection for condition records. We will not use identifiable people in marketing without consent.

12. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the courts of England and Wales.
